Position Overview
The Accountant & Stock Controller is responsible for overseeing inventory accounting, stock control, inventory reconciliation, and physical stock verification activities across all retail stores, warehouses, and stockholding locations.
The role serves as the link between Finance, Inventory Management, and Store Operations, ensuring that inventory records within Odoo accurately reflect physical stock quantities and values at all times.
The successful candidate will regularly visit stores and warehouses to conduct stock counts, investigate inventory variances, reconcile stock balances, monitor inventory movements, and strengthen inventory controls across the business.
This position requires strong experience in food retail, supermarkets, hypermarkets, FMCG, or distribution environments, combined with solid accounting knowledge and hands-on experience using Odoo ERP.
Key Responsibilities
Inventory Accounting & Financial Control
- Maintain accurate inventory records and stock valuations within Odoo.
- Reconcile inventory balances between physical stock and system records.
- Review inventory-related accounting entries and adjustments.
- Monitor stock movements, transfers, write-offs, damages, returns, and stock corrections.
- Support month-end and year-end inventory closing activities.
- Ensure inventory transactions are accurately recorded in accordance with company procedures.
- Support internal and external audits related to inventory and stock management.
- Assist in maintaining accurate inventory-related financial reporting.
Stock Management & Inventory Control
- Monitor stock levels and inventory accuracy across all stores and warehouses.
- Analyze inventory movements and identify discrepancies.
- Investigate inventory losses, shrinkage, damages, and stock variances.
- Develop and implement inventory control procedures and best practices.
- Ensure proper stock handling, receiving, storage, transfer, and issuing procedures are followed.
- Monitor inventory turnover, stock ageing, and product movement trends.
- Recommend actions to improve inventory efficiency and reduce losses.
Physical Stock Counts & Audits
- Plan, coordinate, and execute periodic stock counts across all stores and warehouses.
- Conduct scheduled and surprise inventory audits.
- Verify physical inventory against Odoo records.
- Investigate stock count variances and determine root causes.
- Prepare detailed inventory audit reports and recommendations.
- Follow up on corrective actions and process improvements.
- Ensure inventory count procedures are consistently applied across all locations.
- Validate inventory adjustments and stock correction requests.
Odoo ERP Management
- Act as the key inventory control user for Odoo.
- Monitor inventory transactions and stock movements within Odoo.
- Ensure proper utilization of Odoo Inventory, Purchase, Sales, and Accounting modules.
- Identify and resolve inventory-related system discrepancies.
- Support users on inventory-related Odoo processes and procedures.
- Recommend and implement improvements to inventory workflows and controls within Odoo.
- Assist in inventory master data accuracy and system integrity.
Retail Operations Support
- Work closely with Store Managers, Department Managers, Warehouse Teams, and Operations personnel.
- Monitor compliance with inventory control procedures and company policies.
- Identify operational weaknesses affecting inventory accuracy.
- Support management in reducing inventory losses and improving stock availability.
- Promote a culture of inventory accountability and operational discipline across all locations.
- Participate in new store openings, inventory migrations, and stock-related projects when required.
Reporting & Analysis
- Prepare inventory reconciliation reports and variance analysis.
- Monitor inventory KPIs and stock accuracy indicators.
- Provide management with inventory performance reports and recommendations.
- Analyze inventory trends, shrinkage patterns, stock losses, and operational risks.
- Support business decisions through accurate inventory reporting and data analysis.
- Prepare regular management reports highlighting inventory control performance.
Compliance & Internal Controls
- Ensure compliance with inventory management policies and procedures.
- Strengthen internal controls related to stock management and inventory accounting.
- Identify process gaps and recommend improvements.
- Ensure all inventory transactions are properly authorized and documented.
- Support internal and external audit activities.
- Maintain complete audit trails and supporting documentation for inventory transactions.
Qualifications
- Bachelor’s Degree in:
- Accounting

- Commerce
- Business Administration
- Supply Chain Management
- Logistics
- Or a related field
- Professional qualifications such as ACCA, CIMA, CPA, CMA, ICA Ghana, or equivalent will be considered an advantage.
