Role Overview

The Odoo Functional Super User & Trainer will play a critical operational role in supporting a major ERP deployment within a high-volume hypermarket environment in Accra.

This position requires a highly dynamic, detail-oriented, and hands-on professional capable of ensuring operational continuity, successful ERP adoption, and transaction accuracy across retail stores, warehouses, cashier operations, and back-office functions during and after the Odoo implementation and go-live phases.

The operational environment includes:

  • Large product catalogs and thousands of active SKUs
  • Heavy daily inventory movements and stock transfers
  • Multiple concurrent Point of Sale (POS) users
  • Fast-paced cashier operations
  • Real-time inventory, accounting, and reconciliation activities

The selected candidate will serve as the operational bridge between end-users, management, and the ERP implementation team, ensuring accurate system usage, strong operational readiness, effective staff training, and overall process integrity under high-volume operational pressure.

The role requires flexibility for travel and operational support across different stores, warehouses, or operational sites across Ghana, when needed.

Key Responsibilities

POS Operations & Functional Support

  • Act as the primary on-site functional support resource for cashier and retail operations teams.
  • Troubleshoot real-time POS operational issues including:
    • POS session synchronization errors
    • Offline/online synchronization conflicts
    • Payment reconciliation discrepancies
    • Session validation issues
    • Transaction inconsistencies
  • Support and troubleshoot retail hardware integrations including:
    • Barcode scanners
    • Thermal receipt printers
    • Weight scales
    • IoT-connected retail devices and peripherals
  • Ensure smooth and uninterrupted POS operations during peak retail hours.

Inventory Monitoring & Stock Integrity

  • Monitor high-frequency inventory transactions and stock movements across multiple warehouse and retail locations.
  • Ensure accurate synchronization between:
    • POS transactions
    • Physical stock levels
    • Odoo stock movements
    • Accounting and stock valuation entries
  • Investigate and resolve:
    • Inventory discrepancies
    • Duplicate stock movements
    • Stock-out inconsistencies
    • Internal transfer anomalies
    • Traceability and reconciliation issues
  • Support inventory accuracy and operational stock visibility at all times.

Functional Training & User Readiness

  • Conduct intensive role-based Odoo training sessions for:
    • Cashiers
    • Warehouse teams
    • Supervisors
    • Store management
    • Back-office users
  • Create and simulate realistic operational scenarios within staging and sandbox environments.
  • Train users on handling operational exceptions including:
    • Mid-transaction voids
    • Price discrepancies
    • Weight mismatches
    • Discount applications
    • Split-payment processing
    • Returns and exchange procedures
  • Support user adoption and ensure operational confidence before, during, and after go-live.

Daily Reconciliation & Closing Controls

  • Support end-of-day operational closing activities and validation procedures.
  • Review and reconcile discrepancies between:
    • Physical cash and card collections
    • POS reports
    • Odoo ledger postings
    • Accounting entries
  • Assist floor managers and finance teams in identifying and correcting reconciliation issues prior to POS session closure and validation.
  • Ensure compliance with operational and financial control procedures.

Master Data Management

  • Maintain and validate master data accuracy across the ERP system including:
    • Product SKUs
    • GS1 barcodes
    • Units of measure
    • Vendor records
    • Pricing structures and pricing tiers
    • Product categories
  • Ensure data integrity to avoid operational disruptions at POS and warehouse levels.
  • Support ongoing data quality monitoring and process discipline.

ERP Coordination & Operational Support

  • Coordinate closely with ERP consultants, developers, finance teams, operations teams, and warehouse management.
  • Escalate system issues when required and participate in:
    • Functional testing
    • User Acceptance Testing (UAT)
    • Process validation
    • Operational testing
    • Post-go-live stabilization activities
  • Assist in improving operational workflows and ERP utilization efficiency.

Required Qualifications & Experience

  • 2 to 3 years of hands-on functional experience with Odoo ERP.
  • Strong experience with Odoo versions v17 to v19 is highly recommended.
  • Strong functional exposure to:
    • Odoo POS
    • Inventory / Stock
    • Accounting / Invoicing modules
  • Proven experience within:
    • Hypermarkets
    • High-volume retail environments
    • Multi-location retail operations
  • Experience supporting environments with 15+ concurrent POS users.
  • Strong understanding of retail operational workflows, inventory movements, and stock reconciliation processes.
  • Hands-on experience with retail hardware integrations and troubleshooting.
  • Strong analytical, troubleshooting, and problem-solving capabilities.
  • Ability to work effectively under pressure within fast-paced operational environments.
  • Excellent communication, coaching, and end-user training skills.
  • Strong operational discipline and attention to detail.
  • Willingness and readiness to travel when operationally required.

  • Previous experience supporting ERP go-live or stabilization projects within hypermarket operations.
  • Understanding of warehouse segregation and operational controls within large retail environments.
