Role Summary:
The PA will play a crucial role in supporting the CEO in both professional and personal capacities. This multifaceted role requires a high level of discretion, organizational skills, and the ability to manage various tasks efficiently including personnel-related tasks.

Location: Beirut, Lebanon

Primary Duties and Responsibilities:
• Manage the CEO’s calendar, schedule appointments, and coordinate meetings.
• Prepare and organize materials for meetings, presentations, and business trips.
• Act as the primary point of contact between the CEO and internal/external stakeholders.
• Draft and edit emails, correspondence, and other communications on behalf of the CEO.
• Arrange complex and detailed travel plans, itineraries, and accommodations for the CEO.
• Ensure travel-related documents and logistics (Tickets, Visas, Accommodation, Car rentals…) are well-coordinated.
• Execute personnel administration, in line with internal policies, procedures and regulations.
• Organize reports and legal files, draft and amend large contractual documentation.
• Manage and maintain personnel records, ensuring accuracy and confidentiality.
• Track and manage expenses for the CEO, ensuring accurate and timely reimbursement.
• Handle sensitive information with the utmost confidentiality and discretion, and maintain a high level of professionalism and integrity in all interactions.
• Ensure that documents, reports, and records are accurate and easily accessible.
• Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met.
• Anticipate and address potential issues before they arise.

Requirements and Qualifications:
• Bachelor’s degree in Business Administration or a related field.
• Proven experience as an Executive or Personal Assistant.

Knowledge, Skills and Abilities:
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills in English and French.
• Strong problem-solving skills and attention to detail.
• Multi-tasker and able to deliver under stress and meet deadlines.
• Ability to handle confidential information with discretion.
• Proficiency in Microsoft Office Suite and other relevant software.
• Familiarity with HR processes and personnel management.
