The Secretary – Receptionist assumes the duty of clerical and administrative support in order to optimize workflow procedures in the office assisting colleagues with their planning and distributing information. She handles front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail.

Position Location: Beirut, Lebanon

Reporting to: Admin Manager

Primary Duties and Responsibilities:

• Greet and welcome guests and direct visitors to the appropriate person and office
• Answer, screen and forward incoming phone calls
• Update calendars and schedule meetings
• Receive, sort and distribute daily mail/deliveries
• Provide basic and accurate information in-person and via phone/email
• Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
• Order front office supplies and keep inventory of stock
• Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
• Prepare and disseminate correspondence, memos and forms
• Develop and maintain a filing system
• Make travel arrangements

Skills and Qualifications:

• High school degree; additional certifications are a plus
• Proven work experience as a Receptionist, Front Office Representative or similar role
• Excellent written and verbal communication skills; Fluency in English, Arabic and French; other languages are a plus
• Proficiency in Microsoft Office Suite
• Hands-on experience with office equipment (e.g. fax machines and printers)
• Professional attitude and appearance
• Ability to be resourceful and proactive when issues arise
• Integrity and professionalism
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude
